Stein & Co Talent Management is operated by Warwick Stein. This notice explains how we use personal information when you contact us, apply for representation, or work with us as represented talent.

Information we collect

Depending on your relationship with us, this may include:

• your name, contact details and location;
• Spotlight profile, CV, credits, training, skills and professional information;
• headshots, showreels, self-tapes and other performance material;
• correspondence and information you choose to provide in a representation enquiry; and
• if you become represented, additional information reasonably needed to manage representation, bookings, contracts and payments.

How and why we use your information

We use information supplied in a representation enquiry to review your application, communicate with you and decide whether we wish to discuss representation.

Where you ask us to consider you for representation, our principal lawful basis is that the processing is necessary to take steps at your request before potentially entering into a representation agreement.

If you become represented, we may process information where necessary to perform our agreement with you, comply with legal obligations, and pursue legitimate business interests such as administering the agency, maintaining appropriate records and protecting the security of our communications and systems.

Your right to object: where we rely on legitimate interests, you have the right to object to that processing in certain circumstances.

Who we share information with

Representation applications are used to assess your suitability for Stein & Co and are not routinely shared with casting or production companies simply because you have applied.

If you become represented, relevant professional material may be shared as appropriate with casting directors, producers, production companies, broadcasters, advertising agencies, photographers and other industry professionals in connection with seeking and managing work for you.

We may also use trusted providers for services such as email, website hosting, file storage or professional administration. We only share information where reasonably necessary for the relevant purpose.

International transfers

Some service providers or professional recipients may be based outside the UK. Where UK data protection law requires safeguards for an international transfer, we take appropriate steps to protect the information.

How long we keep information

Unsuccessful representation enquiries are normally retained for no longer than 12 months so that we can complete the application process and, where appropriate, reconsider material for a suitable future opening. We may delete information sooner where it is no longer needed.

Information relating to represented clients is kept for as long as reasonably necessary for the representation relationship and afterwards where required for legal, accounting, contractual or legitimate record-keeping purposes.

Your rights

Depending on the circumstances, UK data protection law may give you rights to request access to your personal information, ask us to correct or erase it, restrict how it is used, object to certain processing, or request portability of information.

Automated decisions

Stein & Co does not use solely automated decision-making to decide whether an actor is offered representation.

We do not intentionally use non-essential analytics or advertising cookies on the current Stein & Co holding site. If this changes, we will update this information and introduce any consent mechanism required by law.
